Tax Return Services – Our Process

Thank you for choosing DAH Accounting & Tax Services, LLC to prepare your tax returns.

 

Our 10-Step Tax Return Preparation Process*

 

Step 1.  New clients please schedule a free initial 15 minute phone or in person consultation.  During this consultation we will gather the information we need to provide a quote for your tax preparation services.   Current clients if you have had substantial changes and need a phone or in-person meeting, please schedule this 15 minute phone call as soon as possible.  Once you have had your intial consultation, please proceed to the next step.

Step 2.  Complete the Tax Organizer/Engagement Letter.  If you do not have the password to open this section, please e-mail us at denise@denisehatcher.com and request the password.   Please be sure to complete all of the sections on the Tax Organizer/Engagement Letter.  This is a docusign document.  Once signed you will receive a copy in your e-mail and we will receive a signed copy. The Tax Organizer/Engagement Letter is also available in paper copy at our office.

Step 3.  Upload your documents.  New clients use Option 1.  Returning clients with login credentials use Option 2.  You may also drop your documents off at at our office.   Typical hours during tax season:  Mon-Thurs 9am-6pm and Friday by appointment.

For Individual Tax Returns: please submit the tax organizer/engagement letter and upload tax documents as early as January 20 and no later than March 31.   If documents are recieved after March 31st, an extension will be filed.  We will, however, strive to prepare the tax return by the orginal due date.

For Partnership and Corporation Tax Returns: please submit tax organizer, engagement letter and upload tax documents as early January 20 and no later than February 28.

 

Step 4.  Please complete the Document Submission Confirmation to let us know all your documents are submitted.
Once we receive your documents, your tax return file is added to our tax return preparation queue to wait for its turn.  The time to complete the return will vary depending on complexity, completeness of information provided and date the information was provided.

Please NOTE: The wait time between the date you submit your tax return organizer and tax documentation and when we first review your tax file, can be as long as two weeks, especially closer to the tax deadline. Therefore, we recommend you to make sure you answer all of the tax organizer questions in full and upload all applicable tax documentation the first time, and as early in the process as possible.

Step 5.  We will contact via email or phone for more information, if needed.  If no additional information is needed, we will contact to let you know your return is complete.

Step 6.  Receive your completed return and sign your e-file authorization. You can review your tax return, and any other applicable forms that require additional action (ex. signing, mailing, etc.), ask any questions, and sign your e-file authorizaton.  We will provide you with specific instructions for the files we provided to you and what to do with any action items, if applicable.

In person:  Set a time to come by and pickup your documents, completed return and sign the e-file authorization.  We will provide a brief review of the return with you and review the instructions for any action items.

Electronically:

E-file Authorization:  You will receive your Form 8879 E-file authorization and state e-file authorizations, if applicable, via email from our e-sign service RightSignature.  Please follow the prompts to e-sign.  You will receive a copy in your e-mail once this is complete.  We will also receive a completed, e-signed copy.

Completed Return:  You will receive an invite for a client portal.  Once you create your password, you can then access your portal using Option 2.  Here you will find your uploaded documents and the completed tax return and other documents, if applicable.  Instructions for what to do with your action items will be provided via a “Note” in your client portal. If you do not yet have client portal credentials, you will receive this information via email.

Step 7.  We will email you an electronic invoice.  For our clients that meet with us in person, we will provide an invoice on the day your pick up your tax return.  Please pay the invoice by the due date on the invoice.

NOTE:  New clients may receive the electronic invoice before you receive your completed return and e-sign forms.  Once we receive your payment for the invoice, your documents will be provided as outlined in Step 6.

Step 8.  We will e-file your tax returns with the IRS and State DOR.  In some circumstances, tax returns are required to be mailed.  We will notify you if this applies to your tax situation.

NOTE: In some cases, there may be a need to file local tax forms (City and/or County). We will prepare those forms, but may not be able to e-file them on your behalf, since most municipalities do not participate in the e-file program. In those cases, we will provide you with instructions and completed forms to ether mail or file and pay directly online yourself.

Step 9.  Once the IRS and the State accept your e-filed tax returns, we will upload for you to the Client Portal E-File Confirmation Letter (Form 9325).  For clients without a client portal we will either email or mail the E-File Confirmation Letter to you.

Step 10.  Our tax engagement with you is complete.  Please download and print documents from the client portal for your safekeeping.

TAX EXTENSIONS:

Please NOTE – at the beginning of February, and as needed, DAH Acct & Tax Svc will file “zero-tax-due” Tax Return Extensions for all onboarded tax clients. We do this as a precaution, in case any tax clients submit their tax information to us late. Any tax returns with tax information submitted after the dates outlined above, will be pushed out and completed after the April 15 tax deadline. Taxpayers may be subject to a penalty on any unpaid taxes due and interest related to any late filings.

Even with a tax return extension filed, taxpayers who owe taxes must pay them by the original tax return deadline or risk incurring late tax payment penalties and interest. Please contact us, if you know your tax information will be late and you will owe taxes to the IRS and State DOR. We will then prepare a custom Tax Return Extension voucher for you to send your tax payments to IRS and/or State DOR.
